Duchesne Alumnae Association Board and Chair Descriptions

President oversees the direction of the Association, presides at all meetings of the Association and of the Board, and ensures that the Board is focused on Sacred Heart Goals and Criteria. She shall appoint committees as necessary to carry on the work of the Association and be responsible for a monthly communique to all alumnae.

President Elect (formerly Vice President) shall perform the duties of the president in her absence. She identifies, recruits, and motivates members.

Treasurer shall work with the Alumnae and Community Relations director and reconcile the Alumnae Association budget, including revenue and expenses.

Treasurer Elect (formerly Secretary) shall perform the duties of the treasurer in her absence. She will offer support for assigned projects and keep the minutes of all meetings.

AASH Representative will share information with the Board from the regional, national, and international AASH organization and shall handle related correspondence. She shall represent the Association at all local and national AASH meetings.

All Board members are obligated to attend the annual meeting (if scheduled), Board meetings, and retreats.

Board Terms

  • President (1-year commitment)
  • Treasurer (1-year commitment)
  • President Elect (2-year commitment: 1 year as president elect, and the following year as president for a 1-year term)
  • Treasurer Elect (2-year commitment: 1 year as treasurer elect, and the following year as treasurer for a 1-year term)
  • AASH Rep (2-year commitment – AASH meetings every other year would be voted on as a spot opens up)

Nomination Process for Board and Chair Positions

The Alumnae Association Nominating Committee is comprised of the following members: immediate past Alumnae Association president serves as chair; a representative from each decade and the Alumnae and Community Relations director and head of school serve as ex-officio members.

The nominating committee shall present a slate of nominees to the Board. The Board shall vote on the slate of nominees. The officers shall assume their duties after the May meeting for a maximum term of two years. No officer shall hold the same office for more than two consecutive terms.

Committee Chair Descriptions

Gingerbread House Workshop Committee

Audience:

  • Current elementary students: those who attend Duchesne and are alumnae children.
  • All former students of Duchesne Academy of the Sacred Heart or of other schools or colleges of the Sacred Heart that are in the Houston area. Also included are Mum Alums, parents, and the larger Duchesne community.

Committee Responsibilities:

GH Committee Workshop Chair(s) – coordinate all aspects of the workshop, including:

  • Manage event promotion and reservations
  • Purchase of all supplies, including houses, candy, and event decorations
  • Work with Alumnae Office to solicit volunteers to staff and work a sales table at the Back to School Sale and staff all shifts on the day of the Gingerbread House Workshop
  • Maintain a spreadsheet with volunteer names and contact information
  • Communicate with volunteers and confirm their participation in events as required
  • The chair will attend Board meetings as scheduled and provide updates on committee activities

  • December 3, 2016 - Gingerbread House Workshop

Senior Student Program Chair

Audience

  • Current Duchesne seniors
  • All former students of Duchesne Academy of the Sacred Heart or of other schools or colleges of the Sacred Heart who are in the Houston area

Committee Responsibilities:

Senior Student Program Chair – identify and coordinate events and activities that will allow alumnae to interact with the seniors, including:

  • Solicit alumnae volunteers to participate in and assist Alumnae Office with sorority program, Career Day, graduation events, and Baccalaureate Mass
  • Solicit alumnae volunteers to participate in the Baccaluareate program and assign them to a senior; document all information in a spreadsheet that will be used at the ceremony
  • Manage alumnae check-in at Baccalaureate Mass
  • The Chair will attend Board meetings as scheduled and provide updates on committee activities

2016–2017 Calendar Dates:

  • February 2017 - Sorority Presentation
  • March 31, 2017 - Career Day
  • June 1, 2017 - Baccalaureate Mass

Faith, Spirit, and Tradition Committee

Audience:

  • All former students of Duchesne Academy of the Sacred Heart or of other schools or colleges of the Sacred Heart that are in the Houston area. Also included are Mum Alums, parents, former faculty and staff, and the larger Duchesne community.

Committee Responsibilities:

Alumnae Faith, Spirit, and Tradition Committee Chair(s) – work with the school's Formation to Mission coordinator, Sr. Caire, and Alumnae Office to create and implement a Sacred Heart Goal-focused communication plan, including

  • Work to include information about the school's mission and the Goals and Criteria at alumnae functions and in alumnae communications where appropriate
  • Assist in developing a Liturgy plan and secure Mass participants, including lectors, gift bearers, and eucharistic ministers, for the Alumnae Mass of Remembrance during Alumnae Weekend and for the Alumnae Retreat
  • Volunteer to assist with alumnae archival and historical process
  • Attend Board meetings as scheduled and provide updates on committee activities

Alumnae Service Project Coordinator - identify and plan an alumnae service project, including:

  • Solicit alumnae volunteers
  • Coordinate with outside agency representatives, if necessary
  • Help develop a program that meets the needs and schedules of alumnae
  • Attend Board meetings as scheduled and provide updates on committee activities

  • March 25, 2017 - Reflection and Yoga Mini Retreat
  • June 1, 2017 - Baccalaureate Mass
